What Does Server Management Include?

Updated

Server management is the work needed to operate a server over time: maintaining software, monitoring resources, controlling access and recovering service when something fails. A “managed” label is useful only when it identifies who owns those tasks.

Write down the division of responsibility

  • Infrastructure: hardware, power, network connectivity and the virtualization platform where applicable.
  • Operating system: supported versions, security updates, configuration and maintenance windows.
  • Services: the web server, PHP or other runtimes, databases, mail and background processes.
  • Application: the site’s own code, plugins, configuration and third-party integrations.
  • Recovery: backups, retention, restore requests and practical recovery tests.
  • Access: administrator accounts, authentication, approved changes and access removal.

These responsibilities can be split between a hosting provider and the customer. For example, a provider may maintain the operating system while your developer remains responsible for a custom application error. Avoid discovering that boundary during an outage.

Make monitoring actionable

A monitoring system should tell an identified person about a condition that needs attention. Agree which checks exist, who receives alerts, which hours are covered and what happens next. A green server process does not prove that a customer’s login or checkout works.

Ask how the service handles recurring failures. A useful response records the cause, corrective action and verification rather than repeatedly restarting a service without investigation.

Ask about change and recovery procedures

Before a significant change, the responsible person should identify the affected service, the backup or rollback method and the test that will prove success. A backup feature is not the same as an agreed recovery time; confirm both separately.

Keep a short operating record with the service location, accountable people, maintenance schedule and escalation path. Record how to access the approved credential store without copying passwords into that document.

If you are comparing an operated service with running it yourself, use the managed versus unmanaged server checklist. For a current failure, the hosting troubleshooting guide helps collect useful evidence before changing settings.
